KEY RESPONSIBILITIES INCLUDE:
Office Operations
 Work alongside the Chief Operating Officer (COO) to manage office operations and processes to ensure a safe, inclusive, and efficient environment for the team.
 Lead for staff on matters related to office administration and technology landscape; specifically office supplies, mail, space accommodations, vendors, IT services team and all other related external service providers
 Lead onboarding for new staff and support a smooth transition into their roles
 Work alongside the Chief of Staff and COO to develop budgets (office and tech)
 Assist the COO with development and execution of professional development and staff training
 Manage communication and change management with the Senior Management Team (SMT) and staff related to updates/changes to office processes or infrastructure
 Manage the transition to a new IT Service Provider (work underway) and return to work planning and implementation as needed

Salesforce and FormAssembly Administrator
 Optimize the use of Salesforce to manage our contacts and relationships engaged in all aspects of CivicAction’s work – managing updates to ensure platform is up to date,
working with integration partners, informing donor strategies, recording and maintaining prospect lists
 Develop reports, dashboards, and processes to continuously monitor data quality and integrity
 Continue to promote Salesforce as optimal data management tool amongst staff and manage trainings
 As a FormAssembly administrator, optimize use of FormAssembly to conduct surveys and host event registration forms
 Manage ongoing support requests and administrative needs of users; troubleshoot issues as they arise on Salesforce and FormAssembly, maintain monthly backups

Development
 Work closely with the Director of Partnerships & Development to plan and develop
fundraising activities (i.e.: recognition & stewardship, quarterly fundraising strategies;
donor follow up)
 Manage preparation and planning for donor meetings, including research, developing pitch decks and other materials as backgrounders and fact sheets as needed for senior management team
 Draft fundraising-related correspondence, including outreach letters, donation thank you letters and invoice letters and impact reports and oversee their timely delivery
 Manage donor database and shared drive in an accurate and efficient matter, including updating donor information and records in Salesforce and on the shared drive
 Pull reports and data as needed
 Design support for pitches as needed

QUALIFICATIONS:
 2-3 years of experience in supporting fundraising activities and administration
 Education background in a related field is an asset
 Interest and/or familiarity with civic/community issues in the GTHA is an asset but not
required
